INSTEAD OF B TEAMS, WE HAVE ALLOWED 4 INDVIDUALS/2 RELAYS.  THE 2ND 2 INDIVIDUALS AND THE EXTRA RELAY COUNT AS THE B TEAM.

Cooper/Borgia Invoice Excel Sheet:

The link below will take you to an excel spreadsheet that has an invoice built for schools that need one.  I know all entries are being reported as one team through the milesplit invoice system.  If you are bringing just one boys team and one girls team, simply use the milesplit system.  If you are bringing 4 athletes per event instead of 2 and 2 relays instead of 1, please use the 2nd Team fee option.  Bringing twice the athletes adds to the length of the meet and the work that officials need to do, which is the reason for an additional fee for a second team.  We formatted the way we did because we find it to be easier for coaches and officials to manage than schools entering 2 separate teams and trying to keep those two groups separate. If you are bringing just a few individuals please use the Athlete per event option.  I hope this is helpful.  If you adjust the left column with numbers, all other columns will adjust.  The other columns cannot be adjusted.

Coaches,

Once again, we are very excited to announce that Saint Xavier High School will be hosting the annual Coach Cooper/Brother Borgia Track and Field Memorial Invitational. We've enjoyed outstanding competition in years past and look to make this year even better.  In that pursuit, we have added a Friday section of the meet to allow for the showcasing of a couple of events and diminish the length of the Saturday portion.

All entries must be submitted via ky.milesplit.com by Tuesday, April 24, 2023 at midnight. Please direct any entry issues to sarrettl@aol.com and sarretl@gmail.com.

Entry fees: $125 for boys teams and $125 for girls teams. Individuals will be $10 each per event, $30 for relays. B and C teams will be allowed.

Note: Fees are based off of online entries, not actual participation. Make checks payable to Saint Xavier High School. Entry fees need to be mailed by April 19. Please bring your check if not mailed by this date.

In adding a Friday portion, we understand that some teams may need overnight arrangements.  We reached out to a local hotel to provide a room block option.  The attached link will take you to the hotel page for our specific Cooper/Borgia room block.

Ticketing: All spectators entering our complex will need to purchase a ticket online.  All tickets will be purchased at the link below.  

Single day tickets are $7.  Two day tickets are $10 each.

Awards: Medals for 1st through 3rd. Ribbons for 4th through 8th. Trophies for 1st, 2nd and 3rd place teams.  All awards will be given out during an award presentation in front of the home stands.  We will score 8 places.



We will follow NFHS and KHSAA rules.

We will be using the FinishLynx FAT timing system and be posting Live Results through the event site on ky.milesplit.com.


Athletes will be provided bibs. Athletes in distance events will receive hip numbers when they check-in with the clerks.

We will provide a projected time schedule the week of the meet.

Friday Schedule - Order of Events may change slightly based on meet management conversations.  These announcements will be made promptly if deemed necessary for visitors' planning purposes.

Track opens to teams at 3:30. TEAMS MAY NOT ENTER THE COMPLEX BEFORE 3:30.

Track will open to spectators at 4pm.

Packet pickup will be announced later.

Coaches' meeting at 4:30pm at the Awards Podium.

Uniform rules:

Athletes will be held accountable to the uniform rules as directed by the KHSAA and NFHS.

The facility:

8 lane rubber track, two jump pits, one pole vault pit, one high jump mat. Shot put and discus are visible from the home stands (discus is thrown onto the football field). All times are shown final on the scoreboard immediately following each heat.

Tents / Warm-up area:

Team tents will be set-up in the soccer/lacrosse practice field located near the Tiger Statue by the main entrance gate. Only coaches and athletes will be allowed in this area. This field can also be used for warm-ups and drills.

Bus parking:

Buses will enter at entrance 2 and proceed towards the stadium through the parking lot located on that side of the school. Busses will then turn towards the right and continue down the backside of the school. Teams will drop off at Gate 3, which is the gate nearest the school. Buses will then drive towards the school entrance circle. Buses departing campus will follow the arrows in the circle to the right and exit the property. Buses that will be parked and remain on campus will drive in the wrong direction through the circle and proceed towards the Germantown parking lot, where buses can be parked for the day.



Declarations/ Clerking / Staging:

All athletes must declare for running events during the declaration window.  A declaration schedule will be sent out prior to the meet.  Once the declaration window closes, athletes will listen for calls & report to the clerk at the start of the 100 meter dash.  All athlete's must report to the clerk by 3rd call.  

If a competitor shows up to an event without a number, he or she will be scratched. Likewise, should a competitor miss third and final call, he or she will be scratched.

Athletes, will exit all events in the track area at the gate by the finish line. At no time should an athlete jump the fence or enter at another gate.



Coaches' wristbands

Coaches will be allotted wristbands for use of the hospitality room and tent/warm-up area. Head coaches will notify Coach Stewart during the coaches' meeting as to the number of wristbands needed for the day. Coaches with wristbands will have access to the lacrosse/soccer practice field and to the hospitality area. Breakfast items will be available to grab from 8-11am. Lunches will be prepackaged and each coach will be able to grab one lunch. Lunches will be available from 11am-2:30pm. Location of the hospitality area is the faculty dining room. The back door to this facility will be propped open for direct access to coaches and has windows that look over the track facility.

Awards:

Athletes who score in the top 8 will be asked down for an awards ceremony as final results come in. Please try to get your athletes down for that, where they will receive medals for 1st-3rd and ribbons for 4th-8th.
